Clinic staff scheduling
Care delivery breaks down at the seams between shifts. The patient with the post-op concern at 6 am needs to be the first thing the day shift hears about at 7 am. Schedio is clinic staff scheduling software that structures that hand-off and shows you live who's covering right now – including the on-call rotation.
How a day runs
6:45 am. Dr. Okafor checks the dashboard from the parking lot: two RNs on the floor from 7, Felix on triage, Dr. Reyes on call until noon, then the rotation flips to Dr. Shah. On-call is scheduled on the same grid as everything else, so the flip shows on the timeline – nobody keeps it in their head.
The overnight note is structured, not a paragraph of panic: the post-op concern from bed 4 was handled at 2:10 am and needs a follow-up before 9; the lab B fridge logged warm twice and facilities was paged. The day RN reads it before the first patient and marks it resolved when the follow-up is done.
At 2:30 pm an RN calls out for the evening. The charge nurse posts the shift to the open pool; the coverage view shows evening triage would run short, and the alert lands in the clinic's Slack channel. Aiyana claims the shift by 3 pm and the change is approved and logged. The fix took 2 taps – the live demo shows the same flow with sample data.
What it solves
MD / RN / Tech coverage
on the live dashboard, including on-call rotation. Demand per hour comes from coverage rules you set per department, so "short one RN at 6 pm" is computed, not guessed.
Patient hand-off notes
per shift, structured (SBAR-friendly) and timestamped. Notes are encrypted per tenant and hard-deleted on a 30-day clock instead of living forever in a chat.
Mandatory overlap windows
for hand-off – coverage gaps flagged before they happen, so the outgoing nurse briefs the incoming one instead of leaving a voicemail.
Audit trail
of every schedule change – who moved which shift and when, viewable in the activity log.
Roles seeded out of the box
Physician · Registered nurse · Medical assistant · Front desk · On-call. You define the specifics; we keep the structure consistent. Your current roster and a typical week import from a CSV with a preview before anything is written.
Common questions
Can staff swap shifts without going through the front office?+
They can offer a shift to the pool or propose a direct swap from their own login. Whether a swap needs charge-nurse approval before it takes effect is a setting – most clinics keep approval on.
How does the on-call rotation work?+
On-call is a role like any other: schedule it in blocks on the same grid. The dashboard always shows who is on call right now, and the hand-over note passes the context along with the pager.
What about HIPAA and PHI?+
Schedio is operations infrastructure, not an EHR. Keep PHI out of hand-over notes – the note dialog carries a reminder. Notes are encrypted per tenant and hard-deleted within 30 days. Talk to us before a serious clinical deployment.
What does it cost for a small clinic?+
$49 a month per clinic, unlimited team members – MDs, RNs, techs and front desk all included, with a 14-day free trial and no card.
What we deliberately don't do
An EHR, e-prescribing, patient scheduling. Schedio schedules your staff, not your patients, and it stays out of the medical record. One plan covers everything. Teams that run 24/7 queues use the same setup on the call center page, and building security teams run their posts on it too.
