Hotel staff scheduling

A boutique hotel runs on tight handoffs. The 3 pm front-desk lead inherits whatever the 7 am lead was juggling: a late check-in, a VIP arrival, a leaky tap in 412. Schedio is hotel staff scheduling software that keeps that context visible to whoever is on shift right now, instead of buried in a group chat.

How a day runs

6:55 am, the lobby still quiet. Yusuf, the morning lead, opens the dashboard: front desk covered until 3, Rosa on housekeeping supervision from 8, bell desk empty 12–2 because Tomás swapped out on Monday – the gap was flagged the moment the swap went through, so nobody is surprised by it today.

The overnight note is 3 lines: the tap in 412 fixed at 1 am, a late check-in landed at 11:40 pm and asked not to be disturbed before noon, the family in suite 9 leaves at 8:30 and the car is booked. Yusuf reads it in the time the kettle takes.

At 2:50 pm the afternoon lead picks up the same view: who's on until 11, which arrivals are VIP, what the morning left behind. At 11 pm the night auditor inherits a floor that's already explained. Want that view with sample data? Open the live demo – no signup, no call.

What it solves

Live coverage

for front desk, concierge, bell desk and housekeeping leads – at a glance. The timeline shows the whole day per role, so the 12–2 bell-desk hole is visible on Monday, not at 12:05.

Handover notes

structured per shift, so the incoming lead reads 3 lines instead of scrolling 80 messages. Notes are time-stamped and stay attached to the shift.

VIP arrivals

flagged on the dashboard with the responsible person and timestamp. The 8 pm arrival survives three shift changes without being re-told.

Overnight gaps

coverage timeline shows exactly when there is no one on the desk, and shifts that cross midnight render as one shift, not two halves.

Roles seeded out of the box

Front desk agent · Concierge · Bell desk · Housekeeping supervisor · Night auditor · Duty manager. You can rename or remove anything in 5 clicks. The hotel template assumes 7 am / 3 pm / 11 pm shifts with a 15-minute overlap – adjust to your real pattern once and it applies across the week. Your current roster imports from a CSV with a row-by-row preview.

Common questions

Can it handle overnight shifts?+

Yes. A shift can cross midnight – 11 pm to 7 am is one shift, not two halves. The coverage timeline and the schedule grid both show it the way the night auditor actually works it.

We run two properties. Do we need two accounts?+

One account. Each property is a location at $49 a month, with its own schedule, dashboard and team. Owners see every property; a manager sees only theirs.

How do VIP arrivals reach the right person?+

Flag them as alerts or put them in the shift hand-over note. Either way they sit on the dashboard for whoever is on duty – and alerts can also push to Slack, Telegram or WhatsApp.

Do housekeeping and front desk live in one schedule?+

Yes – as separate departments inside the same location. Each keeps its own roles and coverage, and the dashboard shows them side by side, so the duty manager reads the whole floor without switching tools.

What we deliberately don't do

A PMS, a channel manager, a payroll run. Those exist, and good ones. Schedio covers the part they all skip: who is on the floor right now, who relieves them, and what the next shift needs to know – for $49 a month per property, unlimited staff. The hotel restaurant runs the same way on the restaurant setup, and contracted guard posts fit the security teams one.
