Departments and job titles
Departments group your team — Front Desk, Housekeeping, Kitchen and so on — and job titles are the positions inside a department, like Front Desk → Agent, Supervisor, Night Auditor. Schedio seeds both for your industry at signup, and you can edit everything.
Opening the catalogs
Go to the People page and click Manage. This opens the catalogs dialog with two tabs — one for departments, one for job titles.
Departments
In the departments tab you can:
- Add a new department
- Rename one — the new name applies everywhere at once: the schedule, coverage, time off views and reports
- Pick a color — it's used on chips, the schedule grid and legends, so choose colors that are easy to tell apart
- Archive a department you no longer use
Archiving is blocked while employees still belong to the department — move them to another department first, then archive.
Job titles
Job titles live inside a department. In the job titles tab you can add a title, rename it (everyone holding that title updates immediately), or archive it.
When you're adding a person and the right title doesn't exist yet, you can also type a custom one with Other (type your own) — it joins the catalog so you can reuse it for the next hire.
Where departments and titles show up
These catalogs do a lot of quiet work across Schedio:
- The Schedule grid groups role rows by department, so the Front Desk block at Northside Inn reads as one unit
- Coverage targets are set per department and role — see set up coverage
- Time off views group requests by department
- Alerts and handover notes can target a department, so Kitchen news reaches the Kitchen team
Naming tips
Keep names short — departments and titles appear on small chips throughout the app, and short names stay readable. "Front Desk" beats "Front Desk & Guest Relations Department".
