Managing people
The People page lists everyone at the location — schedulable employees, app users and pending invites in one place. Here's how to find people, edit their details and keep the list tidy.
Finding people
Use the search box (Search by name, email or role…) to filter as you type. Status chips narrow the list further: All, On schedule, Has app access, Invite pending, No job role and Archived.
You can also change how the list is grouped: by Department, By role, or Flat for one continuous list.
The person panel
Click anyone to open their panel. From there you can see and edit:
- Name, email and phone
- Their app-login role badge — see roles and permissions
- Department and Job title — see departments and job titles
- Employment type: Full time, Part time, Casual or Contractor
- Transfer to another location — their future shifts move along with them
- Weekly and one-off unavailability — see regular days off
- Private manager notes — free text visible to Owners and Managers only, never to the person or other Staff. These notes are stored encrypted.
- Active sign-in sessions, with a sign-out button — useful if someone loses their phone
Bulk actions
Select rows with the checkboxes and a bulk bar appears, letting you archive, transfer or export the selected people in one go.
Archive vs delete
Archiving hides someone from day-to-day lists but keeps their history — past shifts, requests and records stay intact, and you can restore them anytime. Use it when someone leaves but you may want their record later.
Deleting is permanent and is confirmed twice before anything happens. When in doubt, archive.
One person, one record
A person in Schedio can be schedule-only (they appear on the schedule but have no app login), login-only, or both. If you add an employee whose email matches an existing login, Schedio links them into one person automatically — so Liam's shifts and his app account stay together instead of becoming duplicates.
If someone's invite is still pending, you can resend it from their panel.
