Add your team
You add people from the People page. Each person can be on the schedule, have an app login, or both — Schedio keeps those two things separate, so you decide who actually signs in.
Add one person
On the People page, click Add person. As the dialog says: "Add someone to the schedule, give them an app login, or both."
Fill in the basics: Name, Email, and Phone (optional). Then choose what this person gets, using two independent checkboxes:
- Create app login — pick a role: Owner, Manager or Staff. The person gets an invite email with a link to finish setting up their account. See Roles and permissions for what each role can do.
- Add to schedule — on by default. Pick a Department and a Job title; "Other (type your own)" lets you add titles that aren't in the list.
Because the checkboxes are independent, a person can be:
- Schedule-only — no login. Good for someone like Liam the night porter, who never opens the app but still needs to appear on the schedule.
- Login-only — an account without shifts, for someone who manages but doesn't work the floor.
- Both — most of your team.
You can add a login for a schedule-only person later, from their profile.
Add several people at once
Click Add team to paste several people in one go — name, email, department and job title. It's the fastest way to get a whole department in. If your schedule lives in a spreadsheet or PDF, importing it can create the people for you too.
Reading the status chips
Each person on the People page carries status chips so you can see where they stand:
- On schedule — they appear on the week grid.
- Has app access — they have a working login.
- Invite pending — invited, but they haven't clicked the email yet. You can resend the invite.
- No job role — they're missing a job title, so scheduling tools can't place them properly.
- Archived — no longer active.
Good to know
- Managers can only invite Staff. Owners can invite any role.
- If you add an employee whose email matches an existing login, Schedio links them into one person — no duplicates.
