Set up coverage

Coverage is where you tell Schedio how many people of which role you need — per department, per day of the week, per time window. It's the single setup step that turns Schedio from a calendar into a scheduling assistant.

What coverage powers

The Coverage page (visible to Owners and Managers) carries the subtitle "Staffing targets that drive your schedule." Once your targets are in, three things light up:

  • Open shifts on the Schedule — dashed chips appear wherever you're short, ready to be filled. See Open shifts.
  • Gap warnings on the Live dashboard — today's understaffed slots are flagged before they bite.
  • Auto-fill — Schedio can draft a week's schedule for you, staffing against your targets.

Until coverage is set up, the dashboard shows a "Set up coverage" nudge and Auto-fill has nothing to staff against.

Reading the matrix

The Coverage page is a grid:

  • Rows are your departments and the roles inside them.
  • Columns are days of the week.
  • Numbers are the required headcount for that role on that day.

You edit directly on the grid. For example, Northside Inn might need 2 Front Desk agents Monday to Thursday and 3 on Friday and Saturday — just type the numbers into the cells.

Time-of-day windows

Targets are set per time window — the "day parts" Morning, Evening and Overnight. If those windows don't match how your day actually runs, adjust them per location via Custom shift windows. A checkbox there lets you apply the same windows to all locations at once.

Seasons

Every location starts with a built-in "Default" season that's always active — those are the targets Schedio uses when nothing else applies. If your needs change with the calendar (summer terrace, holiday rush), add more seasons for specific date ranges with different targets. See Seasons and adjustments.

Start small

You don't need to fill in the whole matrix on day one. Start with your busiest department only — Front Desk, the kitchen, whichever hurts most when it's short — and refine the rest later. Even partial coverage immediately gives you open-shift chips and dashboard warnings where it matters most.
