Shift swaps
Shift swaps let staff trade shifts with each other — with a manager signing off before anything actually changes. Nobody loses or gains a shift until a manager approves.
Offer a shift for anyone to take
If you can't work a shift, open it on the Schedule to see "Shift details", then choose Offer this shift. As the app puts it: "Offering puts this shift up for grabs. A coworker with the same role can take it, then your manager approves."
Coworkers with the same role see the shift badged "Up for swap" and get an email — for example, "Open Front Desk shift on …" — so they know it's available.
Changed your mind? Use Cancel offer any time before someone takes it.
Propose a direct swap
If you already know who you want to trade with, choose Swap with… instead and pick a specific coworker's shift. They'll be asked to accept, and you'll see "Swap proposed — waiting for coworker's reply." If they agree, the trade goes to a manager for approval like any other swap.
Take an offered shift
When a coworker offers a shift you're eligible for, open it and click Take this shift. You'll see "Claimed — waiting for manager approval." The shift isn't yours yet — it's reserved pending sign-off.
Manager approval
Nothing changes hands until a manager approves. Once they do, the shift — or both shifts, in a direct swap — switch people at once, so the schedule is never half-traded. Both people get a "Swap confirmed" email.
Managers approve or decline swaps on the Requests page — its badge in the sidebar counts items waiting for a decision — or straight from the dashboard. Swaps share that page with shift change requests.
Swap offers vs open shifts
A shift offered for swap is not the same as an open shift:
- A swap offer is an assigned shift the owner wants to give away. It still belongs to them until a coworker takes it and a manager approves.
- An open shift is unfilled coverage that was never assigned to anyone. See open shifts.
Example: at Northside Inn, Liam offers his Saturday evening shift because of a family event. Maria, who shares his role, sees the "Up for swap" badge, takes the shift, and their manager approves it from the Requests page. Liam's Saturday is free, Maria's picked up the hours, and both have the "Swap confirmed" email as a record.
