Email notifications
You decide which routine messages Schedio sends you, one message at a time. Open your profile (your name or picture in the main menu) and choose Notifications. You will see every message that can reach you, with a switch for each way it can be sent: Email, Push and Bot.
Your toggles
The page sorts the messages into groups. Each message below is named the way the page shows it:
- Shifts – Shift added, Shift changed and Shift removed when your own shifts change, Your schedule when a manager sends the week, and Shift reminder 30 minutes before your shift starts. The reminder email starts off, because the app already sends a push notification at the same moment and the Telegram or WhatsApp bot sends the same reminder. Turn it on if you would also like it in your inbox. Team schedule is the whole team's week when a manager sends it out. Owners and managers get this one too, even if they work no shifts.
- Swaps and open shifts – Shift offered when a coworker offers a shift you can pick up, Shift available when a shift opens up after approved time off, Swap proposed when a coworker proposes a trade with you, Swap declined when a swap you proposed is declined, Swap withdrawn when a swap that involves you is withdrawn, and Swap completed when a swap or pickup that involves you is final. Owners and managers also get Swap completed when a swap at their location goes through without needing approval, and Swap withdrawn when a shift they offered is withdrawn, even if they work no shifts. - Requests to decide – for owners and managers. Pickup to approve when someone picks up an offered shift, Shift change request when someone asks to change or drop a shift, Time off request when someone asks for time off, and Reminder about open requests once a day while a request is still waiting for a decision. - Request outcomes – Shift change approved, Shift change declined, Time off approved and Time off declined when a manager decides on your request, Shift change request withdrawn when a request is withdrawn before anyone decides, and Shift change request closed when a request closes without a decision because its shift has passed. Owners and managers get Shift change request withdrawn too.
- Alerts and notes – Urgent alert when an urgent alert is posted for your location, or for your department when the alert is targeted at one. An alert scheduled for later counts as well, at the moment it appears. Alert suggestion to review is for owners and managers, when a team member suggests an urgent alert that needs approval, and Alert suggestion declined tells you when a manager declines an alert you suggested. Handover note is a push notification when a note scheduled for later appears for your department. See alerts and handover notes.
- Summaries – Daily manager digest, for owners and managers: an end-of-day summary of tomorrow at your location: coverage gaps, unassigned shifts and handover notes first, then who is scheduled, grouped by department and position. Managers see only the departments they manage; owners see all of them. It is sent at 18:00 local time. Weekly owner summary, for owners only: a Monday-morning summary of the shifts, coverage, alerts posted and handover resolved over the week that just ended.
- Subscription – for owners. Trial ending soon a few days before your free trial ends, and Trial ended on the day it ends. Payment and subscription notices always go through, as described below.
- Product news – Product announcements: occasional Schedio product news. Never more than a few per year.
You only see the messages that can reach you. Owners and managers see the messages about their own shifts only when they also work shifts. The Push column has a switch for Shift reminder, Urgent alert and Handover note; the other messages show a dash there. In each column, the checkbox on a group's row turns every message in that group on or off at once.
Bot messages
The Bot column is for the Telegram or WhatsApp bot you connect on your profile. The bot sends the shift messages: a shift added, changed or removed, the shift reminder and your schedule. Each of them has its own switch here. Sending stop to the bot still pauses all of them, regardless of these switches, and sending resume turns them back on. See integrations.
Defaults from your owner or manager
Owners and managers choose what people receive until they decide for themselves, in Settings → Notifications. The owner sets defaults for the whole workspace, a location or a department. A manager sets them for the departments they manage, and for a whole location only when they manage every department there.
Defaults follow the team you belong to: your department's default comes first, then your location's, then the workspace's.
Messages that only owners receive – Weekly owner summary, Trial ending soon and Trial ended – have no default. Each owner decides those for themselves.
Your own choice always wins. A message you changed is marked Changed by you, and Reset returns it to the default. A message you have not changed shows where its setting comes from, for example Workspace default.
If you work at more than one location, choose a location at the top of the list to make an exception for that location only.
What always goes through
- Billing notices are sent to Owners regardless of these toggles. See billing.
- Sign-in links, invitations and account notices always go through as well. The page lists each of them under Always sent.
Unsubscribe and language
Every email covered by the toggles above has a one-click unsubscribe link in the footer, so you can opt out straight from your inbox – it turns off only that kind of email for you, at every location, and leaves your other switches as they were. Transactional emails – sign-in links, invites, billing notices and account notices – carry no unsubscribe link, because these toggles do not cover them.
Emails arrive in your profile language – change it once in your account and both the app and your inbox follow.
